Before, when new students were registered online, a simple duplicate student detection looked at DOB, Gender, and Name for exact matches to alert a user prior to processing online student registration and creating a student record. In many cases, existing records with typos or variations in the spelling of a student’s name would prevent those records from being presented to the user as potential matches. This led to the creation of duplicates.
You now have the ability to set match strength per field on how loosely or strictly results are a match for first name, middle name, last name, and DOB fields. This widens or limits the results that come back.
The stricter you get with the match value, the less results you’ll get, increasing the chance that you’ll fail to show a legitimate match if it does exist. The looser you get, the more results you get. Possible matches are ordered by overall record match percent. The closest match is nearest to the submitted values in the Possible Match 1 column.
This needs to be set up by OnCourse. If you're interested, please let us know and we'll configure it for you right away.
