As annual registration forms are submitted, it is important to remember that you must first "push"* submitted values into student/guardian records before pressing Finalize.
* What does it mean to "Push" values? When a parent submits new or updated information, it is important for a school staff member to review the submission first then decide to "push" it into the SIS record (which overwrites the existing value). This makes sure that erroneous or inaccurate data from parents doesn't make it into the SIS record.
To do this, navigate to Student Info > Online Registrations, then click the Annual Registrations tab. OnCourse will bring you to the "Submitted Registrations" area, where you'll see any guardian submissions that are ready for you to process.
Here is a GIF that will show you the steps we'll be taking (below).
Select any student's submitted registration, then:
- Click a section and look for any green arrows (this means that the parent intends to update this record with a new or changed value)
- Click the green arrow to push the submitted value into the student/guardian record
- Once you've done this for each section, you can Finalize the submission
FAQ:
"Do I have to Push every submitted change, one at a time?"
Answer:
Yes. This is an important step to make sure that good, clean data gets into OnCourse. If your district has an urgent need to finalize registrations quickly, you can choose to Push only selected records that the district needs to report on.
In the future, if a staff member wants to review the results of the annual registration with values that were NOT pushed, they will NOT be able to simply review the student/guardian record. They'll have to come back to the Finalized Registrations to review the unprocessed form, as if pulling them out of a filing cabinet.
