Not only do you now have the option of showing student GPAs on OnCourse Connect, you also have the ability to choose when GPAs will recalculate. This is a two step process.
First, contact OnCourse Support, and we'll flip a few switches to activate the feature. During this call, districts will decide if they want to show weighted or unweighted GPAs. At this point, GPAs will be visible on OnCourse Connect.
The second step is done by each district. Those with the proper permissions, will be able to access the GPA Lock Date application and decide when GPA data will update. To access the GPA Lock Date application, navigate to the System Manager and follow this path: Schools > SIS Settings > GPA Lock Date Setting.
Within the application you have two options:
- Use the Latest GPA Run Date
- Choosing this option means that whenever a transcript is run, the GPA will update on OnCourse Connect.
- Latest GPA to This Date
- This is a cutoff date. Choosing this option means that whenever a transcript is run, the GPA will update on OnCourse Connect. However, with this option, the GPA will ONLY update on OnCourse Connect up until the chosen date. Transcripts run after the chosen date will not affect the GPA posted to OnCourse Connect.
- When choosing this option you can also include a custom message in the Extraneous GPA Text area. This message will appear directly to the right of the GPA. If no message is entered, only the GPA will appear on OnCourse Connect.
** GPA data ONLY updates on a student's OnCourse Connect account when a transcript report is run. This can be done by running the transcript report directly from the Transcript tab or by running the Transcript Report from the Reports tab.
Internal: Setup
When students or guardians log into OnCourse Connect they will see the calculated GPA as well as the date it was updated. The GPA is visible on the Dashboard tab as well as the Academic History tab.
Internal: Option/Setting - Portal GPA Lock Date -- Put "LATEST" in the Value field
Internal: Option/Setting - Portal GPA Type (Filling in this setting will turn on GPA display in OCC)
