SIS: Decouple Grade Book and Transcript Records

When looking at a student's transcript tab, you will see either a lock icon or an edit icon to the left of each record. The lock icon mceclip2.png indicates that the record cannot be changed. The edit icon mceclip3.png allows the user to make changes to the record. You now have the ability to unlock a locked record. Doing so unlinks the record from the grade book. This is called decoupling. When this is done, the record will be treated like a manual record.
 
Decoupling a record allows users to make changes to a record and permanently severs the transcript record from the grade book record. Now, updates in the grade book will no longer flow to the transcript record.
 
Steps to Decouple a Transcript Record
To decouple a transcript record, open a student profile and navigate to the Transcript tab. Notice each record has a lock icon directly to the left. To decouple a record, click directly on the lock icon. A new window will appear with the following warning message:

By clicking OK, you will be decoupling (un-linking) the grade book from this transcript record. This action cannot be undone, any updates to the grade book will no longer flow to this transcript record. All updates will have to be entered in manually. OK to Proceed?
 
Include a reason in the text box below the message, and click OK.
 
Once the record is decoupled, the lock icon changes to a pencil and ruler icon, indicating that the record can now be edited. Also, updates from the grade book will no longer flow into the transcript record.
