Now it's possible to configure discipline dispositions to automatically create attendance values.
For this to work, two things have to happen:
- Configure Attendance Codes and Excuse Codes
- Configure disposition codes
Configure Attendance Codes and Excuse Codes
To configure Attendance Codes and Attendance Excuse Codes, select the gear icon and System Manager. Then, navigate to the Student Attendance folder. Expand Attendance Codes and choose the code you'd like to include. In the new window, check the Show in Discipline Auto Attendance option. When you're finished, click Save. Repeat this for each Attendance Code and Attendance Excuse Code you'd like to include. This can be done at the district or the school level.
To configure a disposition code, select the gear icon and System Manager. Then, navigate to the Discipline Code Manager. Next, select Disposition in the Code Type field. Locate the disposition code you wish to configure, then click on it to open the disposition code editing window. In the Attendance Setting area, check the Creates Attendance checkbox, then choose a Default Type and a Default Status. When you're finished, click Save. This can be done at the district or the school level.
Creating a Disposition
When adding a disposition to a discipline incident, if you choose a disposition code that has been configured to trigger an attendance record, a grid showing attendance values will display at the bottom of the window. You'll see the Current Value, the Proposed Value, and the Proposed Status.
Saving the disposition will overwrite the current attendance value with the proposed attendance value. You can keep the current attendance values by clicking Save. You also have the option of changing the Proposed Type and Proposed Status fields by clicking and selecting a different option.
Once the disposition has been saved it cannot be edited. If you need to make changes, open and delete the disposition, and recreate it.
If your district tracks instructional minutes, you can select Check In and Check Out times as well. Leaving these fields blank will automatically create a daily attendance value as well as a check in/ check out record.
Choosing Check In and/or Check Out values that calculate to less than a full school day will produce a daily attendance value but no Check In/Out record. In this instance, Check In/Out records need to be created manually in OnCourse Attendance.
If you put a Check In or Check Out value in that is outside of school hours, an error message will generate alerting you to this. Simply change the times to within school hours and Save again.
The daily attendance value has been saved and is visible in OnCourse Attendance. Hovering over the record shows the Attendance Code, Status Code, the date and time the attendance value was saved, and the user who created it. In the Comments area you will see a message letting you know that this attendance value was auto-generated by the discipline application.
