Louisiana has very specific reporting requirements when it comes to documenting discipline, with a heavy focus on tracking victim information. OnCourse gives you an easy way to enter and track all of that information.
1. Navigate to the Discipline Tab
Your first step is finding the Discipline tab within a student's profile.
2. Add an Incident
Click the green (+) labeled "Add Incident" to begin creating a discipline record.
3. Fill in Required Fields
Certain fields are required in order to record a discipline
incident:
• Discipline code - select the infraction from the drop down menu
• Location - select the location of the infraction from the drop down menu
• Date - click the grid icon in order to select a date from the calendar
• Time - select a time (in 30 minute increments) from the drop down menu
• Context - select the context of the incident from the drop down menu
The "Referred By" is an optional field and should be used to record the person/people/organization who first referred the incident to the teacher/disciplinarian.
4. Adding Public and Private Comments
You have two separate areas in which to add comments. The red text area is where you can enter private comments that can and should only be seen by other staff members. These comments will be printed on reports, but are not publicly available.
The white text area is where you can type comments that can be made publicly available. These comments can be published to OnCourse Connect to be viewed by parents and guardians.
5. Additional Information
The discipline form also allow you to track and report on a lot of additional information, including weapons, bulling, incident tags, and court information.
6. Saving & Adding Victims
When you have filled out the form with all the relevant information, you can choose to save and close the incident, or you can save and begin adding victim information.
7. Selecting Victims
You are able to add victims two different ways. First, you can search for individuals that already have OnCourse profiles in your district; this includes students, staff, and guardians.
You can search by name, profile type, even ID and date of birth. Once you have your search results to the right, you can add as many victims as you need to by clicking the green (+) button next to each name.
8. Victim Profile
When you select a victim, their victim profile will open. Some information will be pre-populated (gender, race, age, grade level), while some will have to entered (injury information).
9. Non-Affiliated Victims
If an incident victim is not already in your Oncourse system, you can manually enter their records. Select the "Add New Non-Affiliated Person" tab and fill out all the applicable information.
**NOTE: Once you save the information for a non-affiliated victim, their profile will be searchable in the "Search" tab.**
10. Building the Victim Report
As you add victims, their names and basic information will populate the top half of your Victim Manager. When you have finished adding victims, close the Victim Manager by clicking the (x) in the top-right corner.
11. Incident Profile
When you close the Incident Manager, and save & close the incident, the student's profile will look like the screenshot below. Each incident will contain active links to the Victim Manager and to the list of flags marked in the incident form.
Incident details, the menu on the right, will only populate when you select an incident. Additionally, you can only add dispositions when you select an incident.
